FAQ
I want to take the CITI Program class as evidence of my credentials for research involving human subjects. Is the required class I need to take called 'Social and Behavioral Research'?
  • You only need to complete the “Social Behavioral Research” class. However, you can take other CITI Program classes if you wish.
  • Make sure the class you have taken is “Social and Behavioral Research.”
  • Ensure your CITI Program certificate has not expired.
  • The credentials for human subject research training can be verified besides CITI Program certificates. Please contact the KEP Administrator via email to check if the credentials you possess can be used for KEP ethical approval submissions.

Do undergraduate and graduate student research require KEP ethical approval?
  • If the graduate student’s research falls within the definition of research involving human subjects, then it requires KEP ethical approval.

Currently, KEP has not opened submission applications for undergraduate students. However, KEP strongly encourages undergraduate students at the University of Indonesia to take human subject training from the CITI Program. This CITI Program training is free for all academic members of the University of Indonesia.

  • The personnel list contains a list of all research team members involved in this research in any capacity (Principal Investigator, Co-Investigators, to Research Assistants) from any institution. All individuals listed in the personnel list must provide evidence of human subject research training credentials.

  • KEP does not provide a specific format for PSP, but KEP does provide a sample PSP that can be used as a reference and a guide to understand the important elements that should be included in the PSP.
  • Please attach the questionnaire/list of questions/PSP in the language that will be used during the interview process with the subjects.
  • PSP is an essential part of research where subjects declare their consent to participate in the study. However, there are instances where the research team does not use PSP for certain reasons. If the research team has clear reasons and justifications for not using PSP, please include the PSP Exemption Form in the submission.
  • Please attach evidence (in document form or any other form) indicating that this research is also in the process of submission to another IRB.

  • “f the research is sponsored by an external party, please attach one copy of the funding proposal to the submission document.

My research has already been approved by KEP and is ongoing, but I want to remove some questions from the questionnaire instrument. Do I still need to submit a protocol amendment to KEP?
  • Yes, please submit all types of research protocol changes to KEP.

I'm interested in becoming a member of KEP. How can I register to become a KEP member?
  • Please send an email to KEP (kep@lpem-feui.org) with the subject “Membership Registration for KEP – (Your Name)” and attach your CV/resume.

  • Members of KEP can submit research ethics approval requests. However, these members should not be involved in the protocol review process, discussions, or voting for the related protocols during Full Board meetings.

What types of research are required to be reviewed and approved through ethical review?
  • All research involving human subjects must be reviewed and approved by the Research Ethics Committee (KEP). Involvement of human subjects includes interventions or interactions, whether direct or indirect (e.g., collecting identifiable secondary data). Written approval from KEP must be obtained before any research activities involving humans (e.g., subject recruitment) commence.

  • Depending on the level of research risk and the type of review conducted. The estimated time required by KEP is 3-7 weeks from the submission deadline cycle each month. Therefore, KEP advises researchers to submit ethics reviews 2 months before the research plan. Further details regarding the estimation of the review process and the steps for new application ethics review can be accessed at: New Submission.
  • You can submit an ethics review to KEP LPEM FEB UI. We recommend that you also submit an ethics review to the local Ethics Review Commission/Institutional Review Board in the country where your research is conducted.

  • You can contact KEP via email. KEP’s office hours are from 09.00 to 17.00 WIB (Western Indonesian Time) on weekdays. Researchers can also check the progress of their application status at Status Pengajuan KEP LPEM FEB UI
Common Mistakes in Submissions
Incomplete Data Collection Instruments
  • Please submit all instruments for each type of data collection method you will be employing (e.g., survey interview instruments and online questionnaire survey instruments if you will be using both).

KEP cannot process the submission until the researcher completes all data collection instruments.

  • Please use the latest version of the forms and guidelines available on the KEP website: Forms and Guidelines.
  • Applicants may only use the PSP Sample Form as a reference (not a template). Please adjust the PSP sample according to the specific needs of your research.
Not Creating a Personnel List Document
  • For new submissions, researchers are required to collect a Personnel List document containing the list of all individuals (PI, Co-PI, assistants, etc.) who will be involved in the research process.
  • Please ensure consistency in filling out information on each form.

For example: If the researcher indicates there will be video recording in the Submission Form, it should also be reflected in the PSP and Research Protocol Checklist Form.
